Attendance tracking without an app
People scan a QR code at your door and send a one-time code on WhatsApp. Each check-in is saved to a spreadsheet in your Google Drive, with the name and time.
- No app to install
- No scanner or cards
- No face or fingerprint data
- We set it up in under 1 hour
Does this sound like your week?
- You ask everyone to reply "present" in a WhatsApp group, then scroll up to count.
- After every class or shift, someone types the names into a spreadsheet.
- A friend signs the paper sheet for someone who did not come.
- A parent, a client or your boss asks for proof, and the record is lost in a chat.
How it works
It takes about as long as unlocking a phone.
Put a screen at the door
A tablet or small monitor shows a QR code with a one-time code. The code keeps changing.
Scan and tap Send
The phone camera opens WhatsApp with the code already typed in. Nothing to install.
Open one file
Every check-in lands in a spreadsheet in your Google Drive, with the name, time and place.
What changes for you
No buddy check-ins
The code is only shown at your door, and an old photo of it does not work. The check-in must come from the person's own WhatsApp number.
No typing after work
The list builds itself. Staff stop copying names from paper sheets or chat replies.
Nothing to buy or install
People use the phone they already carry. New staff or students can check in on day one.
Records you can show
Each row has a time stamp. Late arrivals, absences and total hours are easy to see.
Who uses it
- Tuition centres and schoolsStudents check in at the door. Fees and messages to parents can be worked out from the same records.
- Shops and restaurantsShift and part-time staff check in on their own phones, so hours for pay are ready.
- Field and site teamsEach site has its own QR code. All check-ins land in one file with the site name.
- Classes, events and meetingsPut the code at the entrance. When it ends, the list of who came is ready.

Questions people ask
Do people need to install anything?
No. They use the phone camera and WhatsApp, which most people already have.
Can someone check in from home?
No. The code is only shown on the screen at your door, and it keeps changing, so a photo of an old code does not work.
What if a friend sends the code for someone else?
The check-in is recorded for the WhatsApp number that sent it. A code sent from one phone checks in only the owner of that number.
Where is the attendance list kept?
In a spreadsheet in your own Google Drive. You can open it at any time, filter it by name or date, and download it for Excel.
I am not technical. Who sets it up?
We do. Setup takes under 1 hour, and you do not need to code or build a bot.
Does it work for remote or field staff?
Yes. Each site can have its own QR code, and location can be recorded for teams who work away from one office.
Is it safe for staff and students?
It does not collect face or fingerprint data. Privacy rules differ by country and industry, so check the rules that apply to you.
