How to Take Attendance in a WhatsApp Group: 5 Simple Methods (With Free Templates)
Short Answer
WhatsApp does not have a built-in attendance feature. You cannot open a group and tap “mark present” like you would in a school app or spreadsheet. But five practical methods work well for tutoring centres, tuition classes, schools, and small teams — and every one of them is free.
The methods below go from simplest to most structured. Each one includes a template you can copy in one tap on your phone.
Method 1: Copy-Paste List with Names
This is the fastest method for groups of up to about 40 people. You paste a name list into the group, and members edit it or reply with their status.
Step 1. Open WhatsApp and go to your group.
Step 2. Type the date and a numbered name list. Send it.
Step 3. Ask members to copy the message, add “✓” next to their name, and send it back.
Here is the template:
text
📋 ATTENDANCE — [DATE]
1. Student Name 1
2. Student Name 2
3. Student Name 3
4. Student Name 4
5. Student Name 5
✏️ Copy this list, put ✅ next to your name, and send.On a phone, you can long-press the message → Copy → Edit the text → Send. This works on Android and iPhone.
Tip for tutors: If you have 20 students, this method takes about 5 minutes to collect replies. It does not create a permanent record — you have to scroll back through the chat later. For a proper record, see Method 5.
Method 2: Members Reply “Present”
Instead of a list, you send a simple prompt. Each member types “Present” (or “P”, or “✅”) in the group.
Template:
📋 Attendance check — [DATE]
Please reply “Present ✅” if you are attending today.
Reply “Absent ❌” if you cannot attend. How to read replies fast: In a WhatsApp group, you can tap the search icon and type “Present” to see only those replies. On Android, you can also use the search filter inside the group chat.
Limitation: Everyone in the group sees every reply. For a tuition class this is usually fine. For a workplace, it may not be appropriate. For a private alternative, use Method 3.
Method 3: WhatsApp Poll
WhatsApp has a built-in poll feature. It is the closest thing to a native attendance tool inside the app.
Steps for Android:
Open the group chat.
Tap the paperclip icon (bottom left, next to the text box).
Select “Poll”.
Type your question, e.g. “Attendance — [DATE]”.
Add options: “Present” and “Absent”.
Tap Send.
Steps for iPhone:
Open the group chat.
Tap the “+” icon (bottom left).
Select “Poll”.
Type the question and options.
Tap Send.
WhatsApp allows up to 12 options per poll. Poll questions can be up to 255 characters, and each option up to 100 characters.
Template for a school or tuition class:
Question: Attendance — [DATE] Options:
- Present
- Absent
- Late
Template for a team check-in:
Question: Who is available for today’s meeting? — [DATE]
Options:
1. Yes, I will attend
2. No, I cannot attend
3. I will join lateImportant: WhatsApp polls do not create a downloadable record. You can see who voted for what by tapping “View votes”, but you have to screenshot or copy the results manually. There is no export button.
Method 4: Send a Daily Attendance Sheet as a Photo or PDF
If you already keep a paper register, you can photograph it and send the photo to the group. This works well when parents or guardians want proof of attendance.
Steps:
Fill in your paper register after class.
Take a clear photo with your phone (good lighting, no shadow).
Send the photo to the group with a short caption.
Caption template:
📋 Attendance sheet — [CLASS NAME] — [DATE]
Please check your child’s attendance.
Contact me if you see an error. For a PDF version, you can create a simple table in Google Sheets on your phone, download it as PDF, and share it to the WhatsApp group. Google Sheets is free.
Limitation: Photos are hard to search later. If a parent asks “was my child present on 15 March?”, you have to scroll through the chat. For a searchable record, see Method 5.
Method 5: Copy the List into Excel or Google Sheets to Count Totals
WhatsApp cannot tally attendance totals for you. But you can copy the day’s replies into a free spreadsheet and let the spreadsheet do the counting.
Steps:
After collecting attendance in WhatsApp, open Google Sheets on your phone or computer.
Create columns: Date, Student Name, Status.
Copy the names and statuses from WhatsApp into the sheet.
Use a formula to count totals:
=COUNTIF(C:C, "Present")Or for a specific student:
=COUNTIFS(B:B, "Student Name", C:C, "Present")This gives you a running total for each student across the term or month.
Template for Google Sheets:
Date Student Name Status 01/04 Aisha Present 01/04 Rahul Absent 01/04 Mei Late
You can also use a free coaching class attendance form template that updates itself in real time when students submit a link shared in the WhatsApp group. SurveyHeart offers a free template with no response limits for coaching and tuition centres.
Which Method Fits Which Group
Group size Best method Time needed Record kept? 5–15 people Poll (Method 3) 1–2 min No (screenshot only) 15–30 people Reply “Present” (Method 2) 3–5 min No 30–50 people Copy-paste list (Method 1) 5–8 min No Any size, school Photo/PDF sheet (Method 4) 2 min after class Yes (as image) Any size, tutor Google Sheets (Method 5) 5 min after class Yes (searchable)
Variations: School, Tuition, Business, Meeting, Team
School class (30–40 students): Use Method 1 (copy-paste list) during roll call. Send the completed list as a photo to the parents’ group. This creates a record that parents can see.
Tuition class (10–20 students): Use Method 3 (poll). It is fast and students can vote while walking in. For fee tracking, copy the results into a Google Sheet at the end of each week.
Small business (5–15 staff): Use Method 3 (poll) for daily check-in. For shift workers, combine with a location share: ask staff to send their live location in the group when they arrive.
Meeting (any size): Use Method 3 (poll) with options “Attending”, “Not attending”, “Maybe”. Share the poll link in the group before the meeting.
Team check-in (remote workers): Use Method 2 (reply “Present”) with a morning prompt. Copy the replies into a weekly Google Sheet.
Tutoring centre with many students and fee charges: If you need to link attendance to fees — for example, to calculate how many sessions a student attended before billing — Method 5 is the only free option that gives you countable data. Copy each day’s attendance into a sheet with columns for student name, date, status, and (optionally) fee per session. Add a formula to multiply sessions attended by the fee rate.
Limits to Know
No automatic record. WhatsApp does not save attendance anywhere. Every method above requires you to copy, screenshot, or manually enter data into a spreadsheet.
Hard to search old messages. In a busy group with hundreds of messages, finding “who was absent on 12 March” means scrolling. WhatsApp search works, but it is slow on a phone.
Group members can see each other’s replies. In Method 1, 2, and 3, every reply is visible to everyone. For schools, this can be a privacy concern. Send absence notifications privately to parents instead (see Article 3).
No tally totals in WhatsApp itself. You cannot count “Present” replies inside WhatsApp. You have to move the data to a spreadsheet. The question “can I tally attendance totals in WhatsApp?” has a short answer: no, not inside the app.
FAQ
Can I create an attendance list in WhatsApp?
You can create a name list in a message and send it to a group, but WhatsApp will not track who attended. The list is just text. To track attendance, members need to reply or vote.
Does WhatsApp have an attendance feature?
No. WhatsApp has polls, which can be used for attendance, but there is no dedicated attendance tool, no register, and no report.
How do I send a daily attendance sheet in a WhatsApp group?
Fill in your register (paper or spreadsheet), take a photo or export a PDF, and send it to the group with a caption that includes the date and class name. Or use Method 1 with a copy-paste name list.
Can I use WhatsApp polls to track attendance?
Yes. Create a poll with “Present”, “Absent”, and “Late” options. Tap “View votes” to see who voted for what. You cannot export the results, so screenshot or copy them manually.
How do I record attendance for a tuition class with many students?
Use Method 1 (copy-paste list) during class, then copy the results into a Google Sheet after class. This gives you a searchable record and lets you count sessions for fee calculation.
Is there a free WhatsApp attendance tracker?
WhatsApp itself is free, but it does not have a tracker. You can build a free tracker by combining WhatsApp (for collection) with Google Sheets (for storage and counting). Some free coaching attendance form templates also work — they update in real time when students submit a link shared in the group.
Can I tally attendance totals in WhatsApp?
No. WhatsApp cannot count replies or calculate totals. You need to move the data to Excel or Google Sheets and use a COUNTIF formula.
